Local Fieldbook records

Fieldbook is a browser-local notebook for visit and project records. It opens without an account and does not send its records to Three Oak Woods or a cloud database. Each browser profile has its own records; anyone using that profile can open them. The website shortcut is publicly accessible and is not access protection.

Records and draft photos are saved only in this browser. They are not automatically synchronized between devices or emailed. Clearing browser data, using private browsing or losing the device can lose records. The app can keep its generic application files for offline reopening after its first online setup. It does not load the main website’s analytics scripts or send notes to an AI service. Ordinary website hosting logs may still record requests for application files.

Download dated JSON backups regularly and keep a copy away from the working device. Backups include private notes and photos in readable form; protect them and only retain photos you have permission to keep. Restoring replaces the current browser’s records, not records on another device, and does not merge changes. Fieldbook does not encrypt its records or provide guaranteed recovery. Earlier cloud storage is disconnected from the app; this change does not erase any previously stored cloud copies.

Printable purchases on Etsy and Payhip

Printable purchases and payments take place on the linked Etsy or Payhip storefront, rather than on this website. Review the privacy and payment information shown by the storefront before purchasing. Its handling of your visit and checkout is governed by its own policies.

If you contact Three Oak Woods about a download or order, your message may include your name, email address, order reference and the issue you describe. We use that information to respond and address the order inquiry. An order-help message does not subscribe you to marketing. Please do not send payment-card details, passwords or sensitive information in a message.

Information We Collect

If you join the OakLink waitlist, submit the general contact form or send a Technical Services inquiry, we receive the information you choose to provide. The waitlist sends your email, optional setup response and consent; the contact form sends your name, email, selected topic, message and consent. The Technical Services form sends the details listed in the next paragraph. All three forms send to Formspree when you submit them. General messages may concern OakLink, the sprinkler controller, Technical Services or company questions.

When you select Send inquiry on the Technical Services form, we receive your name, reply email, requested service, hardware or software platform, preferred timing, project description and consent, to assess and respond to your inquiry. If sending fails, the form instead shows an email draft; if you send that email, your email provider handles the message under its own terms. Basic website usage information may still be collected as described below.

We may also collect basic website usage information, such as pages viewed, device type, browser type, approximate location, referral source, and usage patterns. This helps us understand whether the site is working well and what visitors care about.

How We Use Information

We use your information to manage the OakLink waitlist, assess and respond to project and product inquiries, send updates within your consent, maintain and improve the website, and understand interest in Three Oak Woods products and services.

We do not use waitlist information to make automated decisions about you.

Email Updates

The OakLink waitlist records consent to OakLink launch updates. A general contact message or Technical Services inquiry permits a reply about that inquiry; it does not automatically subscribe you to marketing or a sprinkler waitlist. Any broader email updates require a separate opt-in.

Every marketing email will include an unsubscribe option. You may also contact hello@threeoakwoods.com to ask us to remove you from marketing updates. We may still send non-marketing messages necessary to respond to your inquiries.

Sensitive Information

Please do not submit medical details, diagnoses, emergency events, passwords, API keys, confidential customer code, or other sensitive personal information through the waitlist, contact form, services inquiry form or other website forms. Our forms are not designed or intended to collect this type of information.

By submitting information through this website, you confirm that it does not include sensitive personal or medical information.

Cookies and Analytics

This website is configured to use Google Analytics 4 when its measurement ID is enabled. It helps us understand traffic, page views and general visitor behavior so we can improve the site, and may use cookies or similar technologies. We have not added advertising or remarketing pixels to this website.

Analytics information is generally aggregated or used to understand site performance and visitor activity. We do not sell your personal information.

Service Providers

The general contact form, Technical Services inquiry form and OakLink waitlist use Formspree to process submissions. Website hosting, Google Analytics and email providers also process information as part of their services. If you email us instead, your email provider handles the message. Provider processing and retention also depend on their applicable policies and account settings.

How We Share Information

Three Oak Woods LLC does not sell your personal information. We may share information with the service providers described above, or when required by law, to protect our rights, or in connection with a business transfer.

Data Retention

We keep information only as long as reasonably needed for the purposes described in this policy, unless a longer retention period is required or permitted by law.

Your Choices

You may ask us to update, correct, or delete information you have provided to us, subject to reasonable business, legal, and security limitations. You can also unsubscribe from marketing emails at any time using the unsubscribe option in any marketing email, or by contacting hello@threeoakwoods.com.

Children's Privacy

This website is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

Security

We take reasonable measures to protect the information we handle. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Product Note

OakLink is a family alert system currently in development. It does not provide diagnosis, treatment, emergency dispatch, or professional monitoring, and it is not a substitute for calling 911, emergency medical care, professional monitoring, or in-person supervision. Please do not rely on this website or OakLink in any situation requiring urgent or emergency assistance. The sprinkler controller is also a development prototype, not an available product. This policy describes website and inquiry data; any future product pilot or client engagement needs its own agreed data-handling arrangements.

Changes to This Policy

We may update this policy as Three Oak Woods grows and as our website, products, and services evolve. Updates will be posted on this page with a revised date above.
